Frequently Asked Questions
Q: What time does the formal agenda start? When does the meeting end?
A: The formal agenda begins at 5 pm on June 24. The event will come to a close by 6:30 pm.
Q: In past years, you had a reception with light refreshments at the AGM. Will food be made available this year?
A: Unfortunately, we will not be providing refreshments this year.
Q: Is the virtual format something that you will keep for future AGMs?
A: The AGM has been virtual in 2020 and 2021 to help protect the health and safety of all participants by ensuring physical distancing. It is our hope that we will be able to come together in-person next June for the 2022 AGM. That said, we will continue to seek the advice of Middlesex London Health Unit and abide by all guidelines and protocols regarding future gatherings and events.
Q: What is a virtual meeting?
A: A virtual meeting is a real-time interaction that takes place over the internet. Through audio, video, instant messaging, file sharing, and other online features, attendees can engage with one another in discussions, presentations, polling, and more.
Q: How can I vote by proxy?
A: If you are interested in voting by proxy, contact Donna Gordon at firstname.lastname@example.org. Donna will discuss the process with you which includes written confirmation.
Q: Why is my email address required for registration this year?
A: This year, we require your email address in order to email you a special link to join the Zoom meeting. This link will be emailed to you close to the day of the AGM. We kindly ask that you do not share this link with anyone.
When joining the Zoom meeting, be sure to enter the same email address that you used to register for the event on Eventbrite.
Please add Adrianna Gardiner email@example.com to your contact list to prevent the email from going into your spam folder.
Q: How do I download Zoom?
A: Go to zoom.us/download and click the “Download” button under the “Zoom Client for Meetings” heading. Once you do this, a file named “ZoomInstaller” will appear in the bottom left-hand corner of your internet browser window. Click on the file to proceed with the installation.
Q: How much does Zoom cost?
A: A basic Zoom plan is free.
Q: Do I need to make a Zoom account?
A: No, you do not need to make a Zoom account to participate in a Zoom meeting.
Q: How do I join a Zoom meeting?
A: Join the meeting by clicking on the link that will be provided to you via email before the day of the event. We kindly ask that you do not share this link with others.
Q: How do I participate in a Zoom meeting?
A: Once you have joined a meeting, you can participate by listening and watching along to the presenter, chatting in the text box, and engaging with polls and other features. You also have the ability to mute your microphone, turn your camera on and off, change your background, change your screen name, and more.
Q: I do not have a webcam. Can I still participate?
A: Yes, you can participate in the meeting without the use of a webcam, though you will be unable to transmit video of yourself. You will still be able to view the webcam footage of other participants.
Q: How can I test my internet connection to make sure I am able to run Zoom on my device?
A: Test your internet connection by joining a test Zoom meeting. A minimum bandwidth of 2.0 Mbps (up/down) is recommended. If you experience “choppy” audio or video, turning your video feature off may alleviate the issue.
Q: How will we vote during the AGM?
A: When it is time to vote, the Chair will call on voting members to indicate their vote by typing “yes” or “no” into the chatbox. Your response in the chatbox will constitute your vote.
Q: I haven’t received a link to the meeting. What should I do?
